Resource Scheduling in Project Online using OnePlan

Welcome to your trial of Project Online with OnePlan Resource Scheduling!  Follow this simple guide to get you familiar with how quickly you can manage your team's work using the OnePlan Resource Scheduler in Project Online.

Create a New Project and Resource Plan

First, you'll create your own project and build your resource plan for that project.  

Note: You will need to have your pop-up blocker disabled on your browser in order for the OnePlan app to authenticate & open successfully. 

1. Log in to the site

Log into https://hokudemo.sharepoint.com/sites/oneplan1/  

  • Username: [email protected]
  • Password: (Please contact your Wicresoft rep for the current password)

2. Create a New Project

  1. Click the Projects link on the left Quick Launch
  2. Click New in the ribbon and select “Enterprise Project”
  3. Enter your desired Project Name
  4. Click Finish

3. Open the Resource Scheduler

Click on Resource Scheduler in the navigation

4. Complete New Booking Form for a Named Resource

Click the Add New Booking Button (+) in the menu

  1. Enter a Task Name
  2. Enter a Resource Name – begin typing Steve and it will find the resource
  3. Select From and To Booking Dates
  4. Select Allocation Type fields (Hours per day, % Allocation, Total Hours)
  5. Click Save

5. Complete New Booking Form for a Generic Resource

Click the Add New Booking Button (+) in the menu

  1. Enter a Task Name
  2. Enter a Resource Name – begin typing Developer and it will find the generic resource
  3. Select From and To Booking Dates
  4. Select Allocation Type fields (Hours per day, % Allocation, Total Hours)
  5. Click Save

6. View Bookings & Adjust View Modes

  1. Click the (H) icon in the view toolbar to view % of allocation
  2. Change the Zoom from “Week” to “Month”
  3. Click Show All Work in the view toolbar to see if there are any conflicts or overallocations

7. Toggle to Grid View

Optionally, you can also use a Grid View to build out the Resource plan.

8. Submit

To submit your Resource Plan to Project Online, select the ellipsis menu (three dots) next to the project name and click “Submit.  

Manage Resource Schedules Across Multiple Projects

Next, you will review resource allocation across all projects.

1. Log in to the site

Log into https://hokudemo.sharepoint.com/sites/oneplan1/  

  • Username: [email protected]
  • Password: (Please contact your Wicresoft rep for the current password)

2. Launch Resource Scheduler

  1. Click the Resources link in the left Quick Launch
  2. Select multiple named & generic resources to review
  3. Click the Resource Scheduler icon in the Ribbon
  1. Expand “Steve McGarrett” resource to see resource allocations
  2. To change allocations you can do any of the following:
  • Select and hold a resource plan bar to drag and drop it - moving the start and finish dates
  • Select and hold a resource plan bar to drag and drop it - dragging the bar on another resource that has availability
  • Double click on the Resource Plan bar to edit the plan

 

View Resource Management Reports

Lastly, you will analyze resource allocation with the Resource Management reports.  Note: these reports show example data, not the data from the Trial Site where you enter your projects & resource plans. 

1. Log in to the site

  • Username: [email protected]
  • Password: (Please contact your Wicresoft rep for the current password)

2. Launch Reports

  1. Click the Reports link in the left Quick Launch
  2. Click through the tabs to view the different reports.
